Palm Beach County: Seasonal Occupancy Changes the Schedule

Palm Beach has a season, and buildings that fill in November and empty in May cannot be maintained on a flat annual schedule. The calendar has to bend around it.

Palm Beach is forty-five minutes to West Palm from our office in Sunrise, and longer to Jupiter. We would rather say that plainly than promise a window we will miss.

The more interesting difference is not distance, though. It is that Palm Beach has a genuine season, and seasonal occupancy changes what a maintenance programme should look like.

A building that fills and empties

Clubs, seasonal residential buildings and a good deal of hospitality property in the county run at very different occupancy through the year. Traffic in February is not traffic in July, and a flat annual schedule serves neither.

Soil load follows occupancy almost exactly, and since soil load is what should set frequency, the schedule should follow it too. In practice that means concentrating interim cleaning into the occupied months and doing the heavy work in the quiet ones.

The quiet months are the opportunity

Most commercial buildings in South Florida have no genuine closure at all, which is why so much of our work is sectioned around live operations.

Seasonal Palm Beach property is the exception, and it should be exploited. Restorative extraction — the method that reaches soil low-moisture work cannot, and that takes considerably longer to dry — is far easier in a building that is genuinely quiet. So is protector on the entrances and corridors, so is any matting replacement, and so is training the building's own staff before the season rather than during it.

The work that has to happen in season is interim cleaning, at two to four hours back to light foot traffic, concentrated where the traffic actually is.

Booking against everyone else's calendar

There is a scheduling problem in this, and it is worth naming. Search demand for commercial carpet cleaning across Florida rises from around 320 a month in February to 5,400 in November, and the buildings preparing for a season are all preparing at the same time.

Crew capacity in September and October is measured in nights, and nights do not expand because demand did. A Palm Beach building that wants its restorative work done before the season starts is competing for the same weeks as every other building in the region.

Which is the practical advice for the county: book the pre-season work in the summer, when it is easy, rather than in October when it is not.

What the property mix needs

Palm Beach skews toward higher-specification interiors — clubs, resorts, and residential buildings where wool appears more often than it does further south.

Wool must be cleaned between 4.5 and 8.5 pH, with an alkaline pre-spray no higher than 8.5 and a wool-safe acidic neutralising rinse at 3.0 to 5.0 that leaves the carpet neutral. Above 9.5 pH prolonged exposure damages the fibre, and woven wool shrinks if it is over-wetted — the one failure that cannot be undone.

Wool also hides soil extremely well, which means these floors are routinely more soiled than they appear and correspondingly under-vacuumed. On a seasonal building that compounds: the carpet looks acceptable through a quiet summer while soil accumulates at the base of the pile.

Sand, still

The coastal properties have the same arithmetic as everywhere else in South Florida. Ninety-four per cent of the soil in any facility walks in through the doors, and here it is quartz sand — hard, angular, and abrasive against the fibre with every footfall.

Matting inside and outside every exterior door, vacuumed daily and replaced when it stops working, is the highest-value intervention in the county as it is everywhere else. It is also the one most easily arranged during a quiet month.
